This Privacy Policy explains how Urban Boxing and the Urban Boxing studios that operate under the Urban Boxing and Urban Fit DC brands (“Urban Boxing,” “we,” “us,” or “our”) collect, use, disclose, and safeguard personal information when you visit our websites, use our chat tools, submit a lead or career form, book or attend a class, purchase a membership or package, interact with our ads, or otherwise communicate with us.
This Policy applies to all Urban Boxing websites listed below, including any subdomain or successor URL, and to in-studio, phone, SMS, email, and social-media interactions that we control. It also describes how we use service providers such as WellnessLiving (our member and class-management platform), advertising platforms, analytics tools, and automation partners.
Please read this Policy together with our Terms of Service and Liability Waiver. By using our Sites or Services, you acknowledge the practices described here. If you do not agree, do not use the Sites or submit information to us.
1. Who we are and which sites this covers
Urban Boxing operates combat-sports and fitness studios in the Washington, DC / Maryland / Virginia area. Website and member communications may use the Urban Boxing name or the Urban Fit DC email domain (including support@urbanfitdc.com). Unless a studio posts a more specific notice at check-in or in WellnessLiving, this Policy is the network privacy notice for all of the following properties:

2. What this Policy covers
This Policy covers personal information we collect online and offline in connection with:
- Our websites, landing pages (including paid-ad pages such as /start/beginner, /start/women, and /start/muay-thai), support, careers, contact, and schedule pages.
- Free-class / trial request forms, presale or membership-interest forms, and career applications.
- The website chatbot and any similar messaging widget.
- Phone calls, SMS/text messages, email, and social-media messages you send us or that we send you.
- WellnessLiving accounts, class bookings, check-ins, purchases, stored payment methods, and any electronic waiver you sign there.
- Advertising, measurement, and analytics (including Meta / Facebook / Instagram ads and pixels, Google Analytics 4, Google Ads click identifiers, and similar tools).
- In-studio operations: front desk, coaches, CCTV or premises cameras where posted, photos and video of training, and review or testimonial requests.
3. Information we collect
3.1 Identity and contact data
When you request a free class, join a waitlist or presale, apply for a job, or create a member profile, we may collect first and last name, email address, phone number, preferred studio, training focus (for example boxing fundamentals, fight-team prep, youth/teen training, or corporate/private group), notes you choose to write, and who referred you.
3.2 Membership, booking, and payment data
Through WellnessLiving and our staff we may collect account credentials, home location, class history, attendance, packages or memberships purchased, billing dates, freeze or cancellation requests, emergency-contact information if you provide it, and payment-card or other payment data processed by WellnessLiving and its payment processors. We do not intend to store full payment-card numbers on our marketing websites.
3.3 Health, fitness, and risk-related information
You may volunteer information about injuries, fitness level, experience, or medical conditions in form notes, to coaches, or in a waiver. Combat sports and high-intensity training involve inherent risk. We treat health-related notes as sensitive and use them only to operate classes safely, administer waivers, and respond to incidents. Do not send us detailed medical records unless we specifically request them.
3.4 Employment and applicant data
Career applications may include your name, email, phone, desired role, preferred location, experience, availability, and a message or résumé-style description. We use this to evaluate roles (coaches, front desk, sales, operations, and similar positions) and to contact you.
3.5 Chat, email, SMS, and call data
If you use the website chatbot, send email, text us, or call a studio number, we collect the content of that conversation, your contact details, timestamps, and related metadata. Calls may be logged by our phone provider or studio staff. Chat transcripts may be processed by our chatbot and automation vendors to answer questions and create or update leads.
3.6 Device, usage, and advertising data
We and our partners automatically collect IP address, browser and device type, referring URL, pages viewed, timestamps, approximate location derived from IP, cookie and pixel identifiers, and interaction events (for example page views, phone-number clicks, form submits, and “lead” events).
When you arrive from an ad, we may capture and store for the browser session campaign parameters and click identifiers, including utm_source, utm_medium, utm_campaign, utm_content, utm_term, Facebook click ID (fbclid), and Google click ID (gclid), plus the landing path. We attach that attribution to lead submissions so we can see which ads and pages generated a request.
3.7 Studio preference stored on your device
Our sites may store your selected gym in local storage (for example urbanboxing-selected-location) so the site can show the right address, phone, schedule, and coaches. You can clear this in your browser.
3.8 Photos, video, reviews, and social content
We may collect photos and video taken in our studios, images you send us, reviews you post on Google or social platforms (which we may display or sync onto the Sites), and publicly available social-media content related to Urban Boxing. See also our Terms of Service regarding recording on the premises.
4. How we collect information
- Directly from you — forms, chatbot, email, SMS, phone, in-studio sign-up, and WellnessLiving.
- Automatically — cookies, pixels, scripts, server logs, and similar technologies on the Sites.
- From advertising platforms — when you click a Meta, Instagram, Facebook, Google, or similar ad and land on our Sites.
- From service providers — WellnessLiving, automation/webhook platforms, our website and analytics vendors, maps providers, and review platforms.
- From you about others — if you name a referral or emergency contact; please only share information you are allowed to share.
5. How we use information
We use personal information to:
- Respond to free-class, membership, tour, and general inquiries and route them to the correct studio.
- Create or update records in WellnessLiving and related tools so staff can book you, check you in, and manage memberships.
- Send transactional messages (booking confirmations, reminders, schedule changes, receipts) by email, SMS, or app notification where WellnessLiving or our staff enable those features.
- Send marketing messages about classes, offers, new locations, or events where permitted by law and, for SMS, where you have provided appropriate consent. You may opt out as described below.
- Operate paid advertising, measure conversions (including form submits, generate_lead events, and phone clicks), retarget visitors, and improve creative and landing pages.
- Run and improve the Sites, chatbot, SEO, and webmaster reporting (including aggregated traffic and search reports).
- Evaluate job applicants and communicate about roles.
- Request reviews or testimonials after a visit or inquiry, when our operations team authorizes that outreach.
- Enforce studio rules, investigate incidents, protect safety and property, and establish or defend legal claims.
- Comply with law, respond to lawful requests, and meet insurance or audit requirements.
- Detect spam, bots, and fraudulent form submissions (including honeypot and timing checks on our forms).
6. WellnessLiving and in-studio systems
Urban Boxing uses WellnessLiving (business systems associated with our studio network) as the primary platform for member profiles, home location, class schedules, bookings, purchases, attendance, and often electronic waivers and automated member communications.
When you submit a website lead form, we may send your name, contact details, preferred location, training notes, and advertising attribution to automation tools that create or update a WellnessLiving client record at the matching home location (for example Navy Yard, Foggy Bottom, Bethesda, Ballston–Arlington, or Potomac Yard–Arlington).
WellnessLiving is an independent service provider. Its processing is also governed by WellnessLiving’s own terms and privacy policy. Payment card data entered in WellnessLiving is handled by WellnessLiving and its payment processors, not by our marketing-site forms. If you have a WellnessLiving login, you can typically review or update certain profile details there or by asking the front desk.
7. Automation, lead routing, and our digital partners
To run a multi-location gym with paid ads and a public website, we use automated workflows. Typical processing includes:
- Website APIs that receive free-class and career form submissions and forward them to webhook destinations (including IslaIntel / Waves automation endpoints and any additional backup URLs we configure so leads are not lost).
- Zapier and similar integration tools, including the website chatbot embed, which may send conversation content and contact details into the same lead and studio systems.
- IslaIntel and related webmaster / analytics reporting (sometimes referred to internally as Otto) that reviews site performance, search, and advertising outcomes using aggregated or account-level data from Google Analytics, Search Console, ads platforms, and similar sources.
- Email and SMS tools used by studios or WellnessLiving for follow-up, reminders, and (where authorized) review requests.
- Google Maps embeds and directions links on contact and booking pages.
7.1 Categories of service providers
- Website hosting and content delivery (for example the platform that serves our Next.js sites).
- Member management and payments: WellnessLiving and its subprocessors.
- Advertising and measurement: Meta Platforms (Facebook and Instagram ads and pixel), Google (Analytics 4, Ads, Tag / click IDs, Maps, Search Console, Business Profile).
- Automation and messaging: Zapier, IslaIntel / Waves, email/SMS vendors, and studio inboxes.
- Security, spam filtering, and error logging as configured on our servers.
8. Advertising, pixels, and analytics
We run paid campaigns (including Meta / Facebook / Instagram ads and other digital ads) that send people to studio domains and to offer-specific landing pages. Those campaigns use tracking technologies to understand reach, clicks, and conversions.
We use Google Analytics 4 when a measurement ID is configured. GA4 uses cookies or similar identifiers to report traffic, landing pages, events (including form_submit, generate_lead, and phone-click events), and approximate geography and technology.
We use the Meta Pixel when a pixel ID is configured. The pixel can record PageView and lead events and may help Meta build or measure audiences. Meta may combine this with information it already has about your Facebook or Instagram account, according to Meta’s policies.
We do not control Meta’s or Google’s independent use of data they collect through their tags. Review their privacy policies and ad-preference tools (including Your Ad Choices, Google Ads Settings, and Meta Ad Preferences) to limit interest-based advertising where available.
11. Email and text messages
If you give us a phone number or email on a lead form, we and the selected studio may contact you by phone, email, or text to confirm a free class, answer questions, and discuss membership. Transactional messages related to a booking or account may continue even if you opt out of marketing.
Marketing texts are sent only where permitted, including with consent required by the Telephone Consumer Protection Act and similar laws. Message frequency varies. Message and data rates may apply. Reply STOP to opt out of marketing texts from that program and HELP for help, or email us. Opting out of texts does not opt you out of emails, and vice versa, unless we can honor a broader request.
Email marketing, where used, will include an unsubscribe link. You can also email support@urbanfitdc.com or your studio email and ask to be removed from marketing lists.
12. How long we keep information
We keep personal information only as long as needed for the purposes above, including membership and tax records, safety and waiver records, advertising measurement, dispute handling, and legal holds. Lead and chat records are typically kept for as long as we have an active relationship or a legitimate need to show how a booking or complaint was handled. Applicant data is kept for the hiring cycle and a reasonable period afterward for legitimate hiring and legal purposes. Analytics and ad-platform data follow those vendors’ retention settings. When we no longer need information, we delete or de-identify it where reasonably practicable.
13. Security
We use reasonable administrative, technical, and organizational measures appropriate to the nature of the data (including HTTPS on our Sites and access controls at the studio and vendor level). No website, chatbot, or gym software is completely secure. You are responsible for keeping any WellnessLiving password confidential and for using a device you trust when submitting forms.
14. Children and youth / teen training
Our marketing Sites and chatbot are intended for adults. We do not knowingly collect personal information online from children under 13. If you believe a child under 13 submitted a form, contact us and we will delete the information from our marketing systems where required.
Some programs may include youth or teen training. Those programs require a parent or legal guardian to provide contact information, consent, and any required waiver. Do not submit a child’s information on a public form unless you are the parent or guardian and the inquiry is about an appropriate youth program. We do not condition a child’s participation on disclosing more than is reasonably necessary.
15. Your privacy rights
Depending on where you live, you may have rights to request access, correction, deletion, a copy of certain data, or restriction of certain processing, and to appeal a denial. Virginia residents may have additional rights under the Virginia Consumer Data Protection Act. Maryland and District of Columbia residents may have rights under applicable local law. California residents may have rights under the CCPA/CPRA, including to know, delete, correct, and opt out of “sale” or “sharing” of personal information for cross-context behavioral advertising.
To exercise rights, email support@urbanfitdc.com with the subject “Privacy Request,” or call (202) 621-8705, and tell us which studio you use if you know it. We will verify your request to a reasonable degree of certainty. You may use an authorized agent where the law allows, with proof of authorization. We will not discriminate against you for exercising privacy rights.
15.2 Sensitive information
We do not use sensitive information (such as health notes you volunteer) to infer characteristics for advertising. We use it for safety, class placement, waivers, and operations.
16. U.S. audience and international visitors
We operate studios in the United States. If you access the Sites from another country, you understand that we process information in the United States, where protections may differ from those in your country.
17. Third-party sites and apps
Our Sites may link to Instagram, Facebook, LinkedIn, Google Maps, WellnessLiving-hosted pages, job boards, or other sites we do not control. Their privacy practices apply when you leave our Sites or use their embeds. Please read those policies before providing information there.
18. Changes to this Policy
We may update this Policy from time to time. The “Last updated” date at the top of the page will change when we do. Material changes will be posted on this page. Continued use of the Sites after an update means you accept the revised Policy, except where the law requires a different method of notice or consent.
